The clear, plain-language version of a rule usually gets written for a client who asked a question, not for a formal letter. That is the version worth keeping, and it is the one nobody keeps.
Asking staff to stop and copy something into a knowledge base after sending creates another task at exactly the wrong time. The work is finished and the next question is already waiting.
Client email carries tone, context, and thinking that belongs with that client. Staff should not have to draft it in a place where the whole firm can read over their shoulder.
So the explanation gets written again the next time, by whoever happens to get the question.
An email project is a subject and a body. No sections, no steps, no review workflow. It starts empty and saves as you type.
Pull in an approved explanation from the firm library where one already fits, and write the client-specific part around it.
Select the passage worth keeping and choose Save as Knowledge Block. It is captured while you are already working, with no later step to remember.
What is saved is the explanation, not the email. The client’s circumstances stay in the message; the reusable part goes to the library.
A capture from someone with approval rights is available immediately. From anyone else, it waits for approval and stays unavailable firm-wide until an authorized reviewer releases it.
CodaraFlow does not become your mail system. The finished message goes to the mail client you already use and is sent from your own mailbox, with your signature and a copy in Sent Items.
Step and advisory letter projects are shared across the firm by design. Email projects are deliberately private, and that difference is enforced rather than left to convention.
An email project is readable only by the person who created it and the colleagues they invite to it.
Being a partner or an administrator does not open somebody else’s email project. There is no elevated view, on purpose.
Someone invited to an email can read and edit it, but cannot pass it on to anyone else. Sharing stays with whoever wrote it.
Email bodies are excluded from firm-wide search. A colleague cannot reach one by searching for a phrase inside it.
Privacy is enforced on the server, not just hidden in the interface, so access rules still apply outside what someone can see on screen.
Download an .eml file, copy the formatted message, or create the draft directly in a connected Gmail or Outlook account. Your administrator sets the firm default.
